SHIFT PLANNING

A clearer rota.
Fewer loose ends.

Keep the week’s shifts and the changes to them together. Give staff a place to check their hours and managers a clear way to handle cover and swaps.

Bring the agreed plan out of the message thread.

When a rota lives on a whiteboard and cover is arranged in messages, it’s easy to lose track of the latest decision. Keep the schedule, the request and its outcome in one place.

See the week at a glance

Review shifts by day in a weekly rota, with start and end times, staff names and work labels.

Give staff their own view

Each person can check upcoming assigned shifts on their phone without needing access to the manager’s rota controls.

Make changes accountable

Participant agreement and manager approval keep a cover request from becoming an assumed arrangement.

HOW IT WORKS

Plan, share and handle the changes

  1. Build the week’s rota

Add a shift with its date, start and end time, work label and assigned staff member. Duplicate an existing shift when you need a similar one on another day.

  2. Let each person check their shifts

Staff use My shifts to see their upcoming assignments. Managers can edit, reassign or cancel shifts as the plan changes.

  3. Request named cover or a swap

A staff member chooses a colleague at the same location and requests cover, or proposes a swap with that person’s shift. The other person must agree before it is ready for manager review.

  4. Review before changing the rota

A manager approves or rejects the proposal. Approval checks that the shifts and participants are still valid, updates the assignments together, and records who made the decision.

AN EVERYDAY EXAMPLE

Jamie needs Friday covered

Jamie requests Casey to cover Friday’s counter shift. Casey agrees in the app. The manager reviews the proposal and approves it, then the rota shows Casey as the assigned person.

If Friday’s shift changes while the request is waiting, the old proposal cannot quietly overwrite the newer plan. The team can review the changed shift and arrange a fresh request.

Illustrative example. Cover and swaps are named requests within one location.

A few practical questions

What helps prevent double booking?

The app checks assigned staff for overlapping shifts within the business. Adjacent shifts are allowed. You still decide whether the rota is suitable for your team and business.

Does a swap change checklist history?

No. Checklists are shared routines with their own history. Reassigning a shift doesn’t rewrite who completed a task or create another copy of the day’s checklist.

Does this include payroll or attendance tracking?

The shift organizer manages planned shifts and agreed changes. Payroll, clocking in, attendance tracking and labor-law calculations are outside its scope.

Give next week a clearer starting point.

Bring your rota and keep the next cover request with the plan it changes.
